Questions people ask.
Running a project
How do I stop chasing subcontractors for updates?
aiGee listens to the site meeting, and every promise made in it becomes a task with an owner and a date. When one goes quiet, aiGee raises it again and drafts the message. You send it.
Is there an app that turns site meeting notes into tasks?
aiGee does. You speak, or you drop in the recording, and it returns tasks with owners and deadlines. It was built for project managers in luxury construction, where the decisions are spoken rather than typed.
How do I stop being the bottleneck on my own project?
The project manager is the only person who sees the whole web, which is why everything routes through them. aiGee learns the same web and carries the routine part: who owes what, by when, and what has gone quiet. The decisions stay yours.
Is there an AI that remembers what was said in a meeting?
aiGee keeps what was decided, who agreed to it and when, across every meeting on a project. Ask it in March what the electrician promised in January, and it answers.
What is the best AI tool for a construction project manager in Europe?
aiGee is built for project managers in luxury construction and hosted in the EU or the US, at your choice. Voice, meetings and email are the input, so the people on site never have to type.
I have no time to type. Is there project software that works by voice?
aiGee is voice-first. You press once and speak, on site, in your own words. It writes the tasks, the owners and the dates, and brings them back as a draft.
How do I keep track of what every trade promised on site?
In aiGee, every promise made out loud becomes a tracked commitment with the person who made it and the date they gave. You see what is still open without asking anyone.
Is there a GDPR-friendly AI for project management?
aiGee is hosted in the European Union or the United States, whichever you choose, and your projects are processed under provider agreements that forbid training on customer data.
What is a good alternative to Procore for a small luxury renovation team?
Procore is built for volume general contractors and needs a formal implementation. aiGee is built for boutique teams of 2 to 15 and works from the first meeting. Most teams keep both: aiGee captures what was said and can feed the tools you already use.
My clients decide verbally and change their minds weekly. What software handles that?
aiGee starts from what is said rather than what is typed. A decision made while pointing at a marble sample becomes a task the same minute, and the change stays on record with the date it was made.
How do I write my weekly client report without spending Friday on it?
aiGee drafts the report from the real month: the meetings, the decisions, the tasks and what moved. You read it, correct a line, and send it.
Does an AI assistant message my subcontractors on its own?
aiGee proposes and you approve. Every message that would reach a subcontractor exists as a draft first, and that is enforced in the code path rather than in a policy document.
About aiGee
What is aiGee?
An AI project assistant that turns conversation, voice and email into tasks, owners, deadlines and a record of what was decided. Built for the people who build luxury.
Who is it for?
Project managers, studios and subcontractors running luxury boutiques, palace hotels and architectural private estates. If your clients talk instead of writing specifications, aiGee was built for you.
Will my team have to type?
They speak. On site, in their own words, in their own language. aiGee does the writing.
Do my subcontractors need to install anything?
They can stay where they already work. Tasks reach them by email, WhatsApp or Telegram, and their replies come back into the project. The app gives them more: their own day, photo reporting, and your remarks where they are looking.
Is this another dashboard?
aiGee is a voice you talk to and a brief that arrives ready. The screens exist for the moments you want to look.
Can aiGee send something on its own?
Everything that would leave the system exists first as a draft waiting for your confirmation. That is enforced in the code path, not in a policy document.
Does my data train AI models?
Your conversations, email and files are processed under provider agreements that forbid training on customer data.
Where does our data live?
In the EU or the US, hosted where you choose. Your projects stay yours.
Do I replace Procore, Fieldwire or monday.com?
Keep what works. Those manage what your team types in. aiGee captures what was said in meetings, site walks and email, and can feed the tools you already use.
What languages does it work in?
Meetings can be in French, English, Italian or mixed, and the recap goes out in the language the meeting was held in.
Is aiGee proven on real projects?
Every day, on my own. I built aiGee for the job I did for 25 years, and I run my own work on it. The honest test is yours: bring one project, running or finished, to a 30 minute call.
What does it cost to start?
€29 a month for a person on site, and you can stop whenever you like. Starting is a 30 minute call with one real project.
The task home
Who decides a task is finished?
The responsible manager, and only them. A worker reports done with photographs, the task lands in your confirmation queue, and you confirm it or send it back with a remark. Nothing closes without your yes.
Do I have to set the board up first?
The board fills itself. Tasks arrive from your meetings, voice notes and email, already assigned and dated, and you can add one by hand in seconds.
Will my crew actually use it?
They open their day, yesterday, today and tomorrow, and tap photographs when work is done. Anyone who uses WhatsApp can use this.
What happens when work is not done right?
You send it back with one line. The worker sees the redo on their day, next to your remark and the photographs it was judged against. When they report again it returns to your confirmation queue, and the loop repeats until you say yes.
What if someone marks done without doing the work?
Done needs photographs, so you judge pictures rather than words. Every attempt, with its photographs, remarks and dates, stays on the task’s record.
Can I see tasks by site, by person, by partner?
One tap filters the board by site, project, person, team or partner, and the same filters run the history of the whole business.
Does aiGee assign tasks by itself?
aiGee proposes the owner, the deadline and a confidence score. You approve the plan before anything reaches anyone, and draft-first is enforced in the code path rather than in a policy document.
Where do tasks come from?
Anywhere work is spoken: site meetings, voice notes and email. Press the orb, say it, and it lands assigned, dated and linked to the site you were looking at.
We already track tasks in a spreadsheet or another tool.
Keep it. aiGee is where tasks are born from conversations, and it can keep feeding the tool you have. Most teams quietly stop opening the spreadsheet, which is their call rather than a migration.
What does my subcontractor see?
Their own tasks. A Crew seat receives, progresses and reports, and it never sees your economics or anyone else’s work.
How long does my morning take with this?
Your day arrives ranked: what waits for your yes, what is blocked, and what is due. You clear the confirmations first, and what is left is already in the order it matters.
What does the task home cost?
It is core aiGee, included in every seat from €29 a month.
Voice and the orb
Do I have to open the right screen to talk?
The orb is on every screen. When you press it standing inside a site or a task, aiGee inherits that place and offers the exact action there in one tap.
What does grounded mean in practice?
You say "we used twenty bags of cement" on a site, and aiGee recognises the action, the material and the place, then offers one button that opens the flow already filled. Somewhere else, your words land as a captured note instead, so nothing is lost.
Does the orb act on its own after I speak?
It proposes an action or a captured task, and you tap to accept. The confirmation belongs to the flow you open, exactly as it would if you had done it by hand.
What if aiGee mishears me?
You see the transcript before anything happens, and dismissing it leaves nothing written. The proposal becomes real when you tap it.
Can crews use it with gloves on, on a loud site?
It is one large button and a short sentence. Where recognition struggles, the words still land as a note to review.
What languages can I speak?
The same as your meetings: French, English, Italian or mixed. Speak the way your site actually talks.
What happens to a quick capture?
It becomes a task, assigned, dated and linked to the place you were looking at when you said it, and it shows up on the board like any other.
Is my voice recorded and kept?
The audio is processed to serve you and governed like everything else: EU or US hosting at your choice, and no training on your data.
Can I dictate a whole meeting?
Yes, or drop the recording in afterwards. Long recordings go through the full meeting lane and return tasks, owners, deadlines and a recap you approve.
How is this different from a phone assistant?
A phone assistant does not know your marble supplier or which site you are standing on. aiGee rides on your own project record rather than a generic index.
Does the orb work for a Crew seat?
A Crew seat carries the same orb, scoped to their own world: their tasks and their site. They speak, and it lands on their day.
What does the orb cost?
Voice is the core of every seat, included from €29 a month.
Chat and the outside world
Do my subcontractors have to install aiGee to chat?
A thread can include people who install nothing. What you write is mirrored to their channel, email, WhatsApp or Telegram, and their replies land back in the thread, anchored and on record.
Where do chats live?
Inside the work. A thread opens from a task, an item, a document, a site or a person, and the inbox filters by those same dimensions.
What is mirroring, exactly?
Each participant chooses a channel, and every message is delivered where they actually live, with just enough context to answer.
What about consent and privacy?
Mirroring starts once the person agrees, and they can turn it off at any time. Every grant and every withdrawal is logged, and the mirror runs only while consent holds.
Do replies from email or WhatsApp come back?
The reply lands in the thread, attributed and timestamped, next to the work it concerns.
Does the chat feed the record?
Messages are append-only and enter the entity’s history automatically, so a conversation about a site lands in that site’s log.
Can aiGee use what was said in a chat?
The thread is part of the project record. Press the orb and ask what was agreed last week, and the answer comes from it.
Group conversations?
A thread carries any number of participants: your crew in the app, your supplier on WhatsApp, the client on email. One conversation, three worlds.
Is this replacing WhatsApp for my team?
It meets people where they already are. The difference is that the conversation stays anchored to the work and kept, rather than scrolling away in a private phone.
Can I start a chat about a specific delivery or document?
Open the thread from the thing itself. Saying "this is missing" on an item starts a chat already anchored to that item, so the answer arrives beside the delivery it concerns.
Documents
Can aiGee send a contract on its own?
Every document is born a draft and leaves on your explicit send, enforced in the code path like everything else.
What documents can it draft?
Nine types: estimate, quote, contract, invoice, delivery receipt, statement of work, amendment, meeting minutes and general documents. Drafted from what was said and agreed, edited and sent by you.
Does the other side need aiGee?
Your counterparty opens a web link, with no app and no account. They see the document, its versions and its status, and you see when they see it.
How do I know what happened to a document?
Every document carries its own trail: opened, sent, viewed, new version, append-only and timestamped.
Is e-signature included?
The signature lane is built and waiting on the provider go-live. Documents draft, send, track and version today, and signatures join the same trail when it switches on.
Where do my documents live?
In one library, filterable by type, status, counterpart and date, and each one also appears on the site, project or partner it belongs to.
Can a document start from a conversation?
Say "send them the amendment we discussed" and the draft appears with the context filled, waiting for your edit and your send.
What about versions?
Every revision is a new version on the same chain. The counterparty sees the latest, and the trail keeps every earlier one.
What does the counterparty link expose?
That document chain, and nothing else of your business. The link is tokenised, personal and revocable.
Who on my team sees what?
Documents obey the same walls as everything else. Crews see what concerns their own work, and your economics stay with the seats you allow.
Can a document link to a task or an order?
The shopping list’s supplier order lands in your documents as a draft, and any document attaches to the site, task or partner it belongs to.
What does it cost?
Document exchange is included from the Manager seat at €49 a month.
Materials and shopping
Does aiGee order materials by itself?
aiGee proposes a list, you accept the lines you want, and the order exists as a draft in your documents until you send it. Draft-only is enforced in the code path.
Where do the material proposals come from?
From your own history: tasks like this one, what they used, and what the site is carrying. Each proposal shows its reasoning and a confidence score, so you judge it at a glance.
What if a proposal is wrong?
Leave it. Proposals sit in a separate review box and only the lines you select join the task, so a wrong guess costs one tap.
How does it know what is in stock?
Each line is checked against your inventory in real time: in stock, partial, on site or missing, through the same walls that protect the rest of your data.
What is the shopping list, exactly?
Every missing or partial line across all your tasks, rolled up by site, project or week, with the task count behind each shortage. One place instead of twenty phone photographs of handwritten lists.
Can I order the shortfall from a supplier?
One tap composes a draft order to the partner you pick, or to any email address. It lands in your documents as a draft for you to review and send.
Do my crews see material prices?
They see availability: in stock, on site, missing. Economics stay behind the wall, visible to the seats you allow.
Can a worker add materials to their task?
They attach what the job needs, and it shows immediately in the availability check and the shopping rollup.
Does this replace my supplier relationships?
aiGee writes the order and your supplier stays your supplier. The draft goes out under your name, through the documents lane, with its full trail.
What does a saved shortage look like?
A crew arrives Monday, and the cement they need was flagged missing on Thursday, ordered Friday and delivered Saturday. The wall goes up Monday.
Is this the Inventory add-on?
Materials on tasks and the shopping rollup are part of the task home. The full inventory layer, stock counts, moves, hand-overs and QR scan, is included in every seat from Crew up.
What does it cost to use?
The proposal, the availability check and the shopping list ride the seats you already have, from €29 a month, and the inventory layer is included.
History and partners
What does "everything has a history" mean?
Every item, site, document, person, partner and task carries its own append-only log: every action, movement and conversation that touched it, by whom and when. Open any of them and read its life.
Can history be edited?
The ledgers are append-only. Events are added, never rewritten and never deleted, which is what makes them evidence rather than notes.
Is there one timeline for the whole business?
Day by day, across every part: a stock move next to a document sent next to a task confirmed, filterable like the board.
Can I check what happened on a site last week?
Filter the timeline, or stand on the site and ask the orb what happened there last week. The answer cites the record.
What are Partners in aiGee?
Every company you actually work with, derived from shared projects, hand-overs and document exchanges. A view that builds itself rather than a list you fill in.
Can my partner see my data?
Partners appear only through what you genuinely share: a joint project, a hand-over, an exchange. Your stock, your economics and your people stay behind your wall.
Two companies work together in aiGee. Who owns what?
Each side owns its own world. What crosses the line is what was deliberately handed over or sent, and both sides keep the receipts.
Does history help in disputes?
The record is dated, attributed and append-only. When someone says the delivery never arrived, you open the trail.
How far back does it go?
From the day the event happened. Everything aiGee has been told about a project stays available from that point on.
Do conversations enter history?
Meetings and chats attach to the things they mention. A meeting about a site lands in that site’s log, and a chat opened on an item lands in the item’s.
Who can read the history?
The same walls as everywhere: crews see the history of their own work, and the full business timeline belongs to the seats you allow.
What does it cost?
History is the spine of aiGee, included in every seat from €29 a month.
