Talk to Gee

Speak, or attach the voice file — right after the meeting. No typing.

Press the orb standing on a site: "we used twenty bags of cement" — Gee knows where you are and offers the action. One tap.

02 · PERSONAL ASSISTANT

Your day, cleared — morning to evening

Gee sees the night, hands you the day’s priorities, then follows the day — updating them, flagging blockers, logging what the team and the project resolved.

Tasks, owners, next steps — one dashboard. Just talk to Gee.

The task home

Nothing is done until you say it’s done.

Get it out of your head and onto the board — every task in the business, in one place your whole team can see.

The board

Every task, filterable by site, project, person or partner. On top: the To confirm bucket — work your people call finished, waiting for your yes.

My Days

Each crew member sees their days — yesterday, today, tomorrow — and nothing else. Sent-back work returns with your remarks, right where they look.

Proof, not promises

Done means photos. The worker reports with pictures. You confirm, or send it back with one line. Every attempt stays on record.

Materials — inside every task

Proposed, not imposed

Open a task — aiGee proposes the materials it will need, learned from tasks like it, each line checked against your real stock. You accept what’s right. Nothing applies itself.

Short? Drafted.

Missing lines roll up by site, project or week. One tap turns the shortfall into a supplier order — drafted, never sent. You review it with your documents.

FAQ

Questions, answered.

Why not a generic project-management tool?
Most tools were built for software teams: they wait for someone to type. Your clients decide by pointing at a marble sample. aiGee starts from what is said, not what gets typed — and it proves it in 15 minutes on your own project, not in a three-month rollout.
Is this just another task app?
No. It’s an operating system. An operator running ~200 people across seven live boards installs this by hand — one source of truth, blockers that surface each morning, decisions remembered so no one solves them twice, reports written from the real month. aiGee turns that system into a product, voice-first, so you don’t build it by hand.
How is aiGee different from an AI quote app?
Voice-to-quote apps stop at the quote. In aiGee, a voice note can become the quote too — through the Documents module — and then aiGee runs the whole project the quote started: tasks, owners, materials, memory. Voice-to-quote is useful. Voice-to-project-memory is where a real project lives or breaks.
Do I replace Procore, Fieldwire or monday.com with aiGee?
No — keep what works. Those platforms manage what your team types into them. aiGee is the memory layer above them: it captures what was said — meetings, site walks, voice notes, email — and can feed the tools you already use. Nothing to migrate, nothing to abandon.
What is the real alternative to aiGee?
Honestly? Doing nothing — staying the person who carries every decision, deadline and promise in their head. That works until it doesn’t: a missed word in March becomes a dispute in June. aiGee exists so the business remembers, even while you are busy building it.
What is aiGee?
An AI project assistant that turns conversation, voice and email into structured tasks, owners, deadlines and memory. You talk; it captures; your projects stay on track. Built by PHLD.ai for the people who build luxury.
Who is it for?
Project managers, studios, contractors and subcontractors running demanding projects — luxury construction, fit-out, hospitality, boutique retail. If your clients talk instead of writing specs, aiGee was built for you.
How is it different from a meeting-summary tool?
Anyone can paste a transcript into a chatbot. aiGee connects your meetings, email and files into one memory, ranks what matters tomorrow, and turns talk into routed, owned tasks. The value is the connected brain, not the summary.
We already use a project management tool. Why aiGee?
Keep it. aiGee is not another place to type — it listens to your meetings and email and fills your tools for you. Does your tool know what the electrician promised on the March site walk? aiGee does: it was in the room.
Is it proven on real projects?
Yes. aiGee runs live at a project-management contractor for the big luxury brands, on a boutique project for a luxury Italian fashion house — the weekly client report is drafted by aiGee, and meetings become routed tasks. Each PM gets back at least one full working day per week; every project team member — subcontractors and their crews included — saves a minimum of 2–3 hours a week.
Do my subcontractors need to learn a new system?
No. People referenced in a meeting receive their tasks where they already work, and recap emails land in a normal inbox — nothing to install.
Will aiGee replace my project managers?
No — it lifts the 80% routine, the retyping, the chasing, the Friday report, so your PMs do the 20% only they can do. The operator commands the tool; the tool does the busywork.
Can aiGee send something on its own?
No. Anything that would leave the system exists first as a draft waiting for your explicit confirmation. That is enforced in the code path, not by a policy document.
Does my data train AI models?
Never. Your conversations, email and files are processed to serve you and are never used to train anyone’s models. A hard line, not a preference setting.
Where is my data hosted?
Where you choose: in the European Union (Paris region) by default, or in the US if you prefer. Either way — no training on your data. The Sovereign edition goes further: your data stays entirely inside your own environment.
What languages does it work in?
Meetings can be in French, English, Italian or mixed — recaps go out in the language the meeting was held in. The site ships in five languages.
The task home
Who decides a task is finished?
The responsible manager — and only them. A worker reports done with photos; the task lands in your To confirm bucket. You confirm, or send it back with remarks. Nothing closes without your yes.
Do I have to set the board up first?
No. The board fills itself — tasks arrive from your meetings, voice notes and email, already assigned and dated. You can also add one by hand in seconds.
Will my crew actually use it?
They don’t learn a system. They open their day — yesterday, today, tomorrow — and tap photos when work is done. If they can use WhatsApp, they can use this.
What happens when work isn’t done right?
You send it back with one line. The worker sees the redo on their day, next to your remark and the photos it was judged against. When they re-report, it returns to your To confirm bucket. The loop repeats until you say yes.
What if someone marks done without doing the work?
Done needs photos. You judge pictures, not words. And every attempt — photos, remarks, dates — stays on the task’s record.
Can I see tasks by site? By person? By partner?
Yes. One tap filters the board by site, project, person, team or partner. The same filters run the history of your whole business.
Does aiGee assign tasks by itself?
No. It extracts and proposes — owner, deadline, confidence score. You approve the plan before anything reaches anyone. Draft first, always — enforced in the code, not in a policy.
Where do tasks come from?
Anywhere work is spoken: site meetings, voice notes to Gee, email. Press the orb, say it, and it lands — assigned, dated, linked to the site you were looking at.
We already track tasks in a spreadsheet or another tool.
Keep it. aiGee is where tasks are born from conversations; it can keep feeding the tool you have. Most teams quietly stop opening the spreadsheet — that’s their call, not a migration.
What does my subcontractor see?
Only their own tasks. A Crew seat receives, progresses and reports — it never sees your economics or anyone else’s work.
How long does my morning take with this?
Your day arrives ranked: what waits for your yes, what’s blocked, what’s due. Managers typically clear the To confirm bucket with the first coffee.
What does the task home cost?
Nothing extra — it’s core aiGee, included in every seat from €29 a month. Cancel anytime.
Materials & shopping
Does aiGee order materials by itself?
No. It proposes a list, you accept lines, and the order exists only as a draft in your documents until you send it. Draft-only is enforced in the code, not in a promise.
Where do the material proposals come from?
From your own history — tasks like this one, what they used, what the site carries. Each proposal shows its reasoning and a confidence score, so you judge it in one glance.
What if a proposal is wrong?
Then you don’t accept it. Proposals live in a separate "review before adding" box; only the lines you select join the task. A wrong guess costs you one tap.
How does it know what’s in stock?
Each line is checked against your inventory in real time — in stock, partial, on site, or missing — through the same walls that protect your data.
What is the shopping list, exactly?
Every missing or partial line across all your tasks, rolled up by site, project or week, with the task count behind each shortage. One place instead of twenty phone photos of handwritten lists.
Can I order the shortfall from a supplier?
One tap composes a draft order to the partner you pick — or any email address. It lands in your documents as a draft. You review, then send. Nothing moves without you.
Do my crews see material prices?
No. Availability, yes — in stock, on site, missing. Economics stay behind the wall, visible only to the seats you allow.
Can a worker add materials to their task?
Yes — they attach what the job needs, and it shows immediately in the availability check and the shopping rollup.
Does this replace my supplier relationships?
No. aiGee writes the order; your supplier stays your supplier. The draft goes out under your name, through the documents lane, with a full evidence trail.
What does a saved shortage actually look like?
A crew arrives Monday; the cement they need was flagged missing on Thursday, ordered Friday, delivered Saturday. The wall goes up Monday. That’s the point.
Is this the Inventory add-on?
Materials on tasks and the shopping rollup are part of the task home. The full Inventory layer — stock counts, moves, hand-overs, QR scan — is included in every seat, from Crew up.
What does it cost to use?
The proposal, the availability check and the shopping list ride your existing seats (from €29). The Inventory layer is included. A proposal call costs cents in usage.
Voice & the orb
Do I have to open the right screen to talk?
No. The orb is on every screen. But when you press it standing "inside" a site or a task, Gee inherits that place — and can offer the exact action there, one tap.
What does "grounded" mean in practice?
You say "we used twenty bags of cement" on a site — Gee recognizes the action, the material and the place, and offers one button that opens the flow already filled. Not in the right place? Your words land as a captured note instead. Nothing is lost.
Does the orb act on its own after I speak?
No. It proposes — an action or a captured task — and you tap to accept. The confirm always belongs to the flow you open, same as doing it by hand.
What if Gee mishears me?
You see the transcript before anything happens. Wrong? Dismiss it — nothing was written. The proposal only becomes real when you tap it.
Can crews use it with gloves on, on a loud site?
It’s one big button and a short sentence. If recognition fails, the words still land as a note to review — nothing disappears into the noise.
What languages can I speak to Gee?
The same as your meetings — French, English, Italian or mixed. Speak the way your site actually talks.
What happens to a quick capture?
It becomes a task — assigned, dated, and linked to the place you were looking at when you said it. It shows up on the board like any other.
Is my voice recorded and kept?
The audio is processed to serve you and governed like everything else: EU hosting, no training on your data — and the Sovereign edition keeps it entirely inside your walls.
Can I dictate a whole meeting through the orb?
Yes — or drop the recording after. Long recordings go through the full meeting lane: tasks, owners, deadlines, and a recap you approve.
Does the orb work for a Crew seat?
Yes — scoped to their world: their tasks, their site. They speak, it lands on their day.
How is this different from a phone assistant?
A phone assistant doesn’t know your marble supplier or which site you’re standing on. Gee does — the orb rides on your business’s brain, not a generic index.
What does the orb cost?
Nothing separate — voice is the core of every seat, from €29. A spoken capture costs cents in usage.
Documents & the counterparty link
Can aiGee send a contract on its own?
No. Every document is born a draft and leaves only on your explicit send — the same law as everything else in aiGee, enforced in the code path.
What documents can it draft?
Nine types: estimate, quote, contract, invoice, delivery receipt, statement of work, amendment, meeting minutes — and general documents. Drafted by AI from what was said and agreed; edited and sent by you.
Does the other side need aiGee?
No. Your counterparty gets a simple web link — no app, no account. They see the document, its versions and its status, and you see when they see it.
How do I know what happened to a document?
Every document carries an evidence trail: opened, sent, viewed, new version — append-only and timestamped. Nothing can be quietly rewritten.
Is e-signature included?
The signature lane is built and ready to switch on — provider go-live is in progress. Documents draft, send, track and version today; signatures join the same evidence trail the moment the switch flips.
Where do my documents live?
In one library, filterable by type, status, counterpart and date — and each document also shows up on the site, project or partner it belongs to.
Can a document start from a conversation?
Yes. "Send them the amendment we discussed" — the draft appears with the context filled, waiting for your edit and your send.
What about versions?
Every revision is a new version on the same chain. The counterparty always sees the latest; the trail keeps every earlier one.
Who on my team sees what?
Documents obey the same walls as everything else: crews see what concerns their work; economics stay with the seats you allow.
Can a document link to a task or an order?
Yes — the shopping list’s supplier order lands here as a draft, and any document can attach to the site, task or partner it belongs to.
What does the counterparty link expose?
Only that document chain — nothing else of your business. The link is tokenized, personal, and revocable.
What does it cost?
Document exchange is included from the Manager seat (€49/month). Drafting costs cents in usage.
Chat & the outside world
Do my subcontractors have to install aiGee to chat?
No. A chat can include people who never install anything: what you write is mirrored to their channel — email, WhatsApp or Telegram — and their replies land back in the thread, anchored and on record.
Where do chats live?
Inside the work. A chat opens from a task, an item, a document, a site or a person — and the inbox filters by those same dimensions.
What is "mirroring", exactly?
Each participant chooses a channel. Every message is then delivered where they actually live — their inbox, their WhatsApp, their Telegram — with just enough context to answer.
What about consent and privacy?
Mirroring is off until the person agrees, and they can turn it off any time. Every grant and revoke is logged. No consent, no mirror — enforced, not promised.
Do replies from email or WhatsApp come back?
Yes. The reply lands in the thread — attributed, timestamped, next to the work it concerns. Not lost in someone’s phone.
Does the chat feed the history?
Yes. Messages are append-only and enter the entity’s history automatically — a conversation about a site lands in that site’s log.
Can Gee use what was said in a chat?
The thread is part of the brain: press the orb and ask "what did we agree here last week" — Gee answers from the record.
Group conversations?
A thread carries any number of participants — your crew in the app, your supplier on WhatsApp, the client on email. One conversation, three worlds.
What lands on the record?
Everything: messages, joins, consent changes, mirrors sent — append-only, timestamped, attached to the entity the chat is about.
Can I start a chat about a specific delivery or document?
Yes — open it from the thing itself. "This is missing", said on an item, starts the chat already anchored to that item.
Is this replacing WhatsApp for my team?
No — it meets people where they are. The difference: the conversation is anchored to the work and kept, instead of scrolling away in a private phone.
What does chat cost?
Chat is core aiGee — included in every seat, from €29. Mirrors ride your usage in cents.
History & partners
What does "everything has a history" mean?
Every item, site, document, person, partner and task carries its own append-only log: every action, movement and conversation that touched it, by whom, when. Open any of them and read its life.
Can history be edited?
No. The ledgers are append-only — events are added, never rewritten or deleted. That’s what makes them evidence, not notes.
Is there one timeline for the whole business?
Yes — day by day, across modules: a stock move next to a document sent next to a task confirmed. Filterable like the board.
Can I check what happened on a site last week?
Filter the timeline — or stand on the site and ask the orb "what happened here last week". The answer cites the record.
What are Partners in aiGee?
Every company you actually work with — derived from shared projects, hand-overs and document exchanges. Not a CRM you fill; a view that builds itself.
Can my partner see my data?
No. Partners appear only through what you genuinely share — a joint project, a hand-over, an exchange. Your stock, your economics, your people stay behind your wall.
Two companies work together in aiGee — who owns what?
Each side owns its world. What crosses the line is only what was deliberately handed over or sent — and both sides keep the receipts.
Does history help in disputes?
The history of everything is checkable — dated, attributed, append-only. When someone says "we never received it", you open the trail.
Do conversations enter history?
Yes. Meetings and chats attach to the entities they mention — a meeting about a site lands in that site’s log.
How far back does it go?
From the day the event happened — and if you order the heritage brain build, years of your archives enter the same memory.
Who can read the history?
The same walls as everywhere: crews see their work’s history; the full business timeline belongs to the seats you allow.
What does it cost?
Nothing separate — history is the spine of aiGee, in every seat from €29.
